To format IEEE references in Word, put each bracketed number at the left edge and align the reference text, including wrapped lines, in a second column. Export a checked DOCX list or format the paragraphs you already have, then compare every number with the manuscript. The site's Word export contains editable text with fixed numbers, so changes in the paper require a new list or a manual update.
Choose Static Export or Dynamic Citations
A static reference list suits a short paper whose sources and order are settled. Edit the exported paragraphs in Word, apply your submission template, and keep the finished list with the manuscript. You remain responsible for matching each source to the number typed in the paper.
Choose a citation manager while the paper is still changing substantially. Zotero's Word plugin inserts citations and updates a bibliography as you add or remove them. Set the document's style to IEEE and correct source metadata in the library before refreshing. Keep an existing Zotero bibliography in that workflow so its citations remain linked.
Desktop Word also has a source and bibliography workflow under References. Microsoft's bibliography instructions describe selecting a style, adding a source through Insert Citation, and inserting a bibliography. Check whether IEEE is offered in your version. Styles and controls can differ across Windows, Mac, and the web. A style menu still needs accurate source records.
Export and Inspect the DOCX
- Review the recordsOpen the generator's reference list and check each source. Compare imported author initials, full title, venue, date, pages, and DOI with the publication. A Ready label describes fields the tool can format; it does not certify the source.
- Set the orderUse Up and Down or drag a row to follow your venue's required sequence, commonly first citation. Repeated mentions use the source's existing number. For records in a
.bibfile, follow the BibTeX import guide first. - Download DOCXOpen Export and select DOCX. The browser downloads
ieee-citation-generator-references.docx. Edit or remove incomplete entries before exporting. Review other warnings even when downloading is available. - Inspect it in WordCheck the first entry, the transition from [9] to [10], and the longest title or DOI. Wrapped lines should return to the reference text column. Inspect italics, too. Copy all provides plain text; DOCX preserves formatted runs.
The downloadable DOCX sample contains ten real journal and conference records exported through the live tool on Oct. 2, 2026. Its BibTeX source file lets you repeat the import and export exercise. Use these files to inspect layout. Only include sources that support your own manuscript.

The tenth entry has DOI 10.1109/ICRA48891.2023.10160531. In Microsoft's Word web viewer, [9] and [10] start their reference text on the same vertical line, journal and proceedings titles retain italics, and the long DOI wraps without clipping. The image below is the page rendered by that viewer.

Check Hanging Indents, Tabs, and Italics
The IEEE Reference Guide, V3.28.2025, places bracketed reference numbers in their own column to the left of the reference body. A hanging indent makes the first line extend left of later lines. A tab after the bracket number moves the author's name to the same starting point as those later lines.
The current DOCX export uses these editable defaults.

Your journal, conference, or university template determines the font, spacing, and indent distance for submission. Preserve its reference paragraph style when it supplies one. The Reference Guide's description of the number column does not prescribe this site's 0.5-inch setting for every manuscript.
To repair a static list, select the reference paragraphs without the References heading. In Word for Windows, open Home, then the Paragraph dialog launcher and Indents and Spacing. On Mac, use Format, then Paragraph. Under Special choose Hanging and set By to the required distance. For the sample's layout, use Left 0.5 in and Hanging by 0.5 in, leaving the bracket number at the margin. Microsoft's hanging-indent instructions cover the platform-specific paths.
Match the tab stop to the text starting position. Use one tab between [n] and the author. Spaces can leave [10] starting farther right than [9]. Keep each reference as one paragraph and let Word wrap it naturally. Manual line breaks and extra tabs inside an entry can disrupt alignment after pasting or changing the page width.
Compare Proc. IEEE with the rest of its entry. The journal title should retain its italics. When inserting the paragraphs into a manuscript, inspect the paste-formatting choice and result. Keeping source formatting can preserve the export's italics and indents; using the destination style may suit an existing template. Recheck both after pasting. Keep Text Only discards character formatting.
Changing the page width may change where a DOI wraps. Check the complete identifier after editing, and avoid adding a visible hyphen or spaces to force a break. If an entry is cramped in a two-column template, adjust its paragraph formatting within the template's rules and inspect the final PDF.
Keep List Numbers Aligned With the Manuscript
Changing a reference number changes which source a sentence identifies. When you insert an earlier source or move an existing one, review the affected citations throughout the paper, including captions and appendices. The in-text citation guide covers bracket placement, locators, and renumbering.
In our ten-entry exercise, the Go paper is [9] and the event-sensing paper is [10]. Moving the event-sensing row up in the generator makes it [9] and the Go paper [10]. The DOCX downloaded before that move retains the original order. Re-export the revised list, replace the old paragraphs, and update every affected in-text citation. Check the source behind each number against the claim it supports.
For a native numbered list in desktop Word for Windows, Microsoft documents Home, Numbering, and Define New Number Format. Choose Arabic numerals and place square brackets around the number placeholder. Remove typed bracket numbers before applying automatic numbering to avoid two labels on each entry. This updates the list's labels; linked citations require Word fields or a citation manager. Follow the controls available in your version.
Before submission, read the manuscript from its first citation onward. Match each number to its source, reuse numbers for repeated works, and check that required references are present. Review [9] and [10] in the finished template, then inspect italics and long identifiers in the final PDF. Run the final IEEE reference checklist and save the checked manuscript and list together.

Can I select IEEE in Word's built-in citation tool?
Check References and the Style menu in your installed version. Use IEEE if it is offered and verify the output. Otherwise, a static DOCX list or a citation manager with an IEEE style can complete the reference workflow.
Is a 0.5-inch hanging indent required for every IEEE reference list?
It is the generator's export default. Use the reference style and dimensions specified by the receiving publication, department, or course. Numbers and wrapped text should still form separate aligned columns.
Why did italics disappear when I copied my references?
Copy all provides plain text. A plain-text paste also removes italics from formatted content. Export DOCX for formatted paragraphs, then check journal and book titles after applying the manuscript's style.
