How to Use IEEE In-Text Citations Correctly

Learn IEEE in-text citation rules for placement, repeated sources, multiple references, page numbers, and renumbering, with practical 2025 examples.

A bracketed number looks simple until a paper has repeated sources, grouped evidence, precise locators, and late edits. This guide follows IEEE Reference Guide V3.28.2025 and shows how to keep every number connected to the right source.

The IEEE In-Text Citation Format

An IEEE in-text citation is a reference number on the text line, enclosed in square brackets. Put the citation inside the sentence punctuation and use the same number as the matching entry in the reference list. A basic citation looks like [1]. If you cite several sources at the same point, write every number separately, such as [1], [2], [3], [4]. The current IEEE Reference Guide does not compress that sequence into a range.

The number sends readers to a full source at the end of the paper. The entry at [3] and every in-text occurrence of [3] must identify the same work. This guide concentrates on that manuscript-level use. For the structure of complete reference entries, read the IEEE reference format guide.

Current range ruleIEEE Reference Guide V3.28.2025 says to write out all reference numbers. Use [1], [2], [3], [4]. The compressed form [1][4] belongs to older guidance.

Place the Citation Inside the Punctuation

The current guide places reference citations on the text line, in square brackets, and inside the punctuation. For a citation supporting an entire sentence, the bracketed number normally appears before the final period. Keep it on the line as a bracketed marker. Superscripts, author-date citations, and footnotes belong to other systems.

IEEE permits the bracketed number to function grammatically like a noun or like a footnote number. Both of these patterns appear in the guide, According to [1] and as shown by Brown [4], [5]. Choose the construction that makes the sentence clear. A citation placed at the end should sit close enough to the supported claim that a reader can tell whether it applies to one clause, one sentence, or a larger passage.

When author names appear in the prose

You can omit the author name when the number alone makes the sentence work. When naming the author helps the discussion, keep the bracketed number as the source pointer. The guide illustrates one author as Smith [4], two named authors as Brown and Jones [5], and three or more names in the text with et al., as in Wood et al. [7].

The three-name threshold applies to names written in the manuscript. A complete IEEE reference entry follows a different rule and normally lists every author when there are six or fewer. It uses the first author followed by et al. when there are more than six. The guide also allows et al. for a non-IEEE publication when the remaining author names are unavailable. Keeping these two rules separate prevents a common author-list error.

Citations for quotations, paraphrases, and summaries

A borrowed result still needs a citation after you rewrite it in your own words. Place the number beside the sentence or clause containing the borrowed idea. For a direct quotation, add the most precise locator the source supports and follow the target publication's quotation rules. A summary that spans several sentences needs a clear boundary, so readers can see where your analysis resumes.

In the last example, [8] supports the benchmark fact. The following sentence reports the writer's own test and does not inherit that citation. Moving the marker to the end of both sentences would make the boundary less clear.

Reuse the Number for a Repeated Source

One source keeps one identity throughout the paper. If a source appears as [3] in the reference list, cite that work as [3] every time it returns. A later section, different wording, or a new locator does not create a second source.

First use: The model assumes independent failures [3].
Later use: The sensitivity analysis relaxes that assumption [3].
Specific later use: The derivation is provided in [3, Sect. 4.5].

The current guide tells editors to eliminate ibid. and op. cit. from the reference section. In the text, return to the earlier reference number. If the later citation points to a new page range, figure, section, theorem, or algorithm, add that locator to the existing number.

A new edition, version, dataset release, or separately published paper may be a different work even when the title is similar. Check the source record itself. If the objects are different and both support the manuscript, give each one a separate reference entry and number.

Write Every Number When Citing Multiple Sources

A statement can be supported by two or more sources. Under V3.28.2025, each citation remains in its own square brackets and the citations are separated by commas. This applies to nonconsecutive numbers and to consecutive sequences.

For the final example, avoid [1][4], [1]-[4], [14], and [1, 2, 3, 4]. Older IEEE-oriented resources may still display a range. The current Reference Guide says ranges in text will not include an en dash and shows every reference written out.

Separate numbering also protects the one-number, one-source relationship. A combined entry such as [7] should not contain three unrelated works merely to shorten an in-text marker. IEEE states that references must not be combined and that each number must identify one reference.

Add Page, Figure, Section, and Other Locators Inside the Brackets

A reference number identifies the work. A locator identifies the part that supports the statement. Put a comma after the reference number and keep the locator inside the same pair of brackets. The current guide supplies the following forms.

Copy the source's own structure accurately. A locator is useful when the source is long or when the claim depends on one precise result. Leave it out when the page provides no section, figure, or page range. The locator supplements the full reference entry and leaves the source number unchanged.

Preserve the capitalization and abbreviations used by the current guide, including Thm., Lemma, pp., eq., Fig., Appendix, Sect., Ch., and Algorithm. A journal, conference, department, or instructor can impose a narrower house form, so the target instructions still control the submitted manuscript.

Renumber the Text and Reference List Together

Numbering is a document-wide relationship. When a new source is inserted before existing first citations, later numbers can shift. Deleting a source can cause the reverse change. The guide warns that editing references may require careful renumbering of both the reference list and the citations in the text.

Changing only the reference list breaks every affected pointer. Changing only the first occurrence leaves repeated citations and locators stale. Treat the operation as a mapping from each source to one current number.
